Note: This feature only works for Outlook email that is on a Microsoft Exchange Mailbox and your Microsoft Exchange Provider sets a time limit on how long the exchange server holds onto the permanently deleted email.

A typical setting is for the Exchange Server to hold onto deleted mail for 48 hours, and then emails are purged from the exchange server. Emails needed after that time would need to be recovered from your Exchange server backups.

Launch Outlook 2010 and logon.

Choose “Folder” from the top menu

Highlight the “Delete Items” folder

Click the “Recover Deleted Items” button at the top

Your deleted items will be listed, highlight the email(s) you want to recover and click the “Recover Seleted Items” button.

These emails will be restored to your “Deleted Items” folder.

There are a ton of features in Outlook that many of us frankly never use because we are not aware they even exist. Below is a short 5 minute video put together by our friends at Del Institute that outlines the Outlook advanced email options. Because just talking about advanced email options means very little to most people I have bulleted the main points of for your reference with a quick summary of what they can offer you.

Importance – Microsoft Exchange Server queues mail for delivery and by setting an email as important it will push that email ahead of normal and low priority mail in queue.

Voting Buttons – This allows you to specify voting responses in an email so the recipient will only have to click a button at the top of an email to cast their vote. You can then look at the original sent email and see who responded and what their votes were…pretty slick even for simple things like what kind of pizza do people want for the company luncheon.

Do Not Deliver Before – This is my personal favorite! This allows you to compose a message in advance then set a time and date for it to be sent. The message will stay in your outbox till that time arrives. So let’s say you want to plan some followup emails to clients or team members.. compose the emails in advance and set the Do Not Deliver Before time date – presto you can move on and Outlook will do the rest.

Have Replies Sent To – allows you to specify other people that will get copies of replies to the email you sent.

Request a Delivery Receipt – This option will email you when your email is delivery to the recipient.

Request a Read Receipt – This option will email you when the recipient opens your email.

Contacts – Allows you to associate an email to a contact

Categories - Allows you to catagorize an email

All new versions of software bring changes and being creatures of habit if it’s not where it was before we feel like something’s drastically wrong as we click and click to find out where it must have gone.

That was my experience after I upgraded to Outlook 2010 and was leaving for vacation trying to find out where I could change my Out of Office message. Fortunately once I found it I was happy to see all the familar features of the Out of Office feature. Not only can you set different messages to be sent to people inside verses outside of your company but you can also schedule when the Out of Office replies are sent; so you don’t forget to turn them on or off when your going to be away.

Below is a quick cheat sheet to help you find this feature fast in Outlook 2010.

Go to “File” then click “Info” and choose “Automatic Replies (Out of Office)”

Checking “Send Automatic Replies” will enable this feature.

Simply set the start and end times and type out a message into each text box – one message for people in your company and another for people outside your company. There is also a checkbox to turn the vacation messages on or off for each of the two groups.

I am sure we have all experienced this at least once in our lives.. for some reason we miss-click or reimport our data and Outlook duplicates some or all of our contacts. Fortunately there is an easy fix! Everytime a contact is updated or added it updates the contacts modification field. By simply changing Outlook to show the modification date and time then sorting by that you can see all the duplicates and easliy remove them.

If you have duplicate contacts that were created at different times you can click on the name column to sort by name then hold down the control key while you click and highlight all the contacts you want to delete. After they are all highlighted click delete to delete them.

Important Note - If you delete a contact and need to get it back search for it in your deleted items then click and drag it back into your contacts folder.

Outlook 2007 Instructions:

In Outlook, Click on the contacts folder in Outlook that has the duplicates.

In Outlook Select “View” then “Current View”, click “Phone List”

Go to the “View” menu again, point to “Arrange By”, then select “Customize”

Click “Fields”

In the available Fields list, click Modified, and then click Add to move it to the box on the right.

In the Internet age security is always a concern for people especially when it comes to your Outlook data. These days we are emailing and storing sensitive data in our Outlooks on a daily basis. One question we get from people is about the security of Outlook Web Access. If your provider or company IT department gives you access to OWA then you want to make sure that it is using SSL to ensure that your data is encrypted and protected. At Link2Exchange we require all connections to our servers be encrypted – if you want to check to see if your OWA access is safe follow the instructions below.

First go to your hosted exchange providers OWA access: https://mail.YourExchangeServer-URL.com

If the upper left part of the browser you should see a pad lock

If you double click on the pad lock, you will be able to view the certificate properties.

Issued to: Your exchange provider mail server will be listed

Issue by: The company that issued the SSL for the Exchange provider

Vaild from: Date that the SSL is good through.

SSL (Secure Sockets Layer) is the standard security technology for establishing an encrypted link between a web server and a browser. This link ensures that all data passed between the web server and browsers remain private and integral. SSL is an industry standard and is used by millions of websites; like online banking sites, in the protection of their online transactions with their customers.

When you run the Cleanup, you have a choice to clean up a Conversation, clean up Folder or Clean up Folder & Subfolders.

Once you run this all of your emails will be grouped into conversations based on the subject of the mail

When clicking on Clean up Conversation, you will be prompted with the following.

We suggest reviewing and adjusting the settings before you run the clean up, click settings from the prompt

Or go to File, Options, Mail to view Conversation Clean up settings. Adjust the settings to your liking and click on browse to choose what folder you would like the email to be sent too.

For this example, we created a folder called Conversation Test.

Click on Clean up Conversation

When the Cleanup is done, view the emails within the folder you have choosen to direct them to, if the clean found no email related to each other you will get a prompt indicating so.

Mac OS X Snow Leopard Now as Built-In Support for Apple Mail, iCal, and Address Book Syncing to Exchange

Snow Leopard is the first Mac Operating System with built-in support for Microsoft Exchange Server 2007 allowing you to truly collaborate with your partners and colleagues through “anywhere access” using your native Apple Mail, iCal, and Address Book applications.

Snow Leopard Exchange Calendaring & Presence Solutions for Apple iCal & Address Book

Easily and efficiently connect with others through sharing and meeting scheduling tools with iCal and Address Book.

Get shared calendaring and scheduling features through iCal and set up meetings effortlessly with group scheduling and availability tracking.

Manage your Address Book by creating a shared list of contacts and distribution groups.

How it works

Additional software installations are not needed (i.e. Entourage). Just configure your system through the Accounts pane in Apple Mail, enter your Exchange user name and password, and check the box to automatically set up your other applications. Apple Mail uses the Autodiscover feature in Exchange to grab all the pertinent information from the Exchange server and configure your settings.

Adding an Exchange 2007 (EWS) account to Mail

Most Exchange servers have Auto discovery enabled, authoritative Exchange 2007 accounts can be easily configured if your domains DNS provider creates an Auto discovery record.

Auto Discover setup for Outlook/APPLE Mail and Exchange 2007:

How to setup your account:

Open Mail (click its icon in the Dock, or open it in the Applications folder).

*From the Mail menu, choose Preferences.

*Click Accounts in the toolbar.

*Click the + icon. The “Add Account” sheet appears.

*Enter your real name, email address, and password; click Continue. If Autodiscovery is enabled through your DNS provider, the setting should automatically populate.

Note:If the Exchange server Autodiscovery does not complete, you will need to manually fill in your mail server information fields mentioned below.

Setup Manually:

The “Incoming Mail Server” sheet appears.

Enter the following:

Account Type: Exchange 2007

Description: (optional)

Email Address: your-exchange-email-address

Internal server: mail.yourserver.net

External Server: (leave blank)

User Name: Your OMA Username

Password: Your account password

Outgoing Mail Server: mail.youserver.net

Check Use only this server

Select both “Address Book contacts” and iCal calendars”

Under Advanced settings

Check Enable this account

Check Include when automatically checking for new messages

Keep copies of messages for offline viewing: All messages and their attachments

Internal Server Path: EWS/Exchange.asmx

Internal Port: 443 (Check Use SSL)

External Server Path: (Leave Blank)

External Port: 80 (Uncheck: use SSL)

Verify your settings in the Account Summary. Check “Take account online”. Click “Create” to complete the process.

After completing these steps you should be able to send and receive email via this account.
