With the Blackberry, you can be notified of incoming emails with a tone, vibration or both. Sometimes when you look at your mail after being notified, it may appear that there are no new messages.Typically this problem occurs when you pull your handheld out of its holster to silence the notification and then put it back in the holster. The Blackberry opens the new message by default when you pull it out of the holster and closes it when you put it back in. This action causes the message to be listed as ‘Read’ instead of ‘Unread’. The message is still there, however. Just open the most recent message and it’ll be the new one even though it’s marked as having been previously read

By default, the BlackBerry will only sync items which are stored in your Inbox wirelessly. If you have set up server-side rules in Outlook to send e-mail to a subfolder other than your Inbox or you move a message from the Inbox to another folder then it will disappear from your BlackBerry. Although the BlackBerry does have a feature where you can show the folders on the server, it will not sync messages in those folders by default. You must configure the BlackBerry to sync subfolders. These instructions are for BlackBerry’s that are on a BlackBerry Enterprise Server using Microsoft Exchange.

Only messages received after you perform the following steps will sync to your BlackBerry. Any messages filed previously will not be stored on the BlackBerry handheld even after you set the folder redirection properties.

Procedure:

On your BlackBerry home screen, click Messages.

Click the MENU then scroll down and click Reconcile Now. This will ensure that you have a full list of all current Exchange folders on your BlackBerry.

Click the MENU then scroll down and click Options.

Scroll down and click on Email Settings.

Click the MENU then scroll down and click Folder Redirection. (This may take a while to load if you have a lot of folders.)

Scroll down to ‘Mailbox – Your Name’.

If you want to sync all of your Outlook folders (except Deleted Items)…

Click the MENU then scroll down and click Select All..

Click the MENU then scroll down and click Save..

If you want to select which Outlook folders to sync to your BlackBerry…

Click the MENU then scroll down and click Expand to see a list of folders..

Scroll down to each folder you want to sync and hit the Space key to select it.

If the folder has subfolders then the Space key won’t select it, you’ll have to click the menu then click Change Option.

If the folder you want to click on has a + sign next to it, click the menu then click Expand to see a list of subfolders.

Once you’ve finished selecting the folders you want to sync, click the menu then click Save.

Hit the Escape key on the BlackBerry (located just under the menu) to return to the Messages list.

IMPORTANT: Any time you add a new folder on the server that you want to sync to your BlackBerry, you must use this procedure to select it for synchronization. By default the folder will not sync. Remember to perform this procedure BEFORE you move messages into this folder if you want them to be visable on your BlackBerry.

To view your filed messages…

In the BlackBerry Messages screen, click the menu then click View Folder.

Scroll down and highlight the folder you wish to view.

Click the menu then click Select Folder.

If no messages are there (and you know some have been put there since you configured the folder for wireless sync, click the menu then click Reconcile Now.

For companies who use shared contact lists in their Microsoft Exchange public folders, you can synchronize the contacts in that database to your BlackBerry handheld using the procedure below.

The contacts on your BlackBerry will all be stored in the same contats folder. So, if you sync more than one contact list to your BlackBerry they will be combined together on the BlackBerry. It will not affect how they’re stored on the server. You cannot use wireless syncing of contacts and cable syncing at the same time. If you choose to cablesync so that you can have a public folder contact list on your BlackBerry then you can no longer use wireless sync (BES) for syncing contacts.

Procedure:

Connect to your Exchange account

Open Outlook and log in.

Open your BlackBerry Desktop Manager.

Connect your BlackBerry to your PC.

Double-click Intellisync.

Click Configure PIM.

Click Address Book then click Choose.

Click MS Outlook under Available Translators.

Under Operation, click Synchronize.

Click the Browse button at the bottom of the window.

Browse through the Public Folders and click on your shared Contact list then click Add.

Note: If you have more than one Contact list in the box below the data from them will be combined on your BlackBerry. There is no way to have them stored in seperate locations. If you only want your public folder contact list to be on your BlackBerry then click on each contact list you don’t want and click Remove.

Click OK.

Click OK two more times.

Make sure Synchronize PIM is checked (at the least), really all four boxes should be checked.

Click Synchronize now.

By default, the BlackBerry will sync items which are stored in your Inbox and Sent Items folder wirelessly. This results in any email you send being stored on your BlackBerry in the main “messages” screen. Below are the steps to take if you do not want all your sent items in your main messages acreen.

Once you make the change below it will not affect any messages already synced to your BlackBerry. Any messages you sent from the BlackBerry will still appear in the Messages list. There is no way around that. This will only prevent future items sent through Outlook or Outlook Web Access from appearing on your BlackBerry Messages screen.

Click the menu then scroll down and click Expand to see a list of folders..

Scroll down to the Sent Items folder and hit the Space key to unselect it.

Click Save.

Hit the Escape key on the BlackBerry (located just under the menu) to return to the Messages list
